Langbyrde and the alternatives
There are three usual ways to keep a small corporation’s books. Each one is the right answer for someone. Here is how Langbyrde differs, and when you would be better off with something else.
At a glance
| Langbyrde | Your own spreadsheet | An online bookkeeping subscription | A shoebox for a bookkeeper or CPA | |
|---|---|---|---|---|
| Where your books live | In a file on your computer | In a file on your computer | On the vendor’s servers | With you, then with whoever you hand them to |
| How you pay | $149 CAD once, per person | Nothing extra | A monthly or yearly fee, for as long as you use it | Their fees, every year |
| Works with the internet off | Yes, fully | Yes | Generally not | Not applicable |
| Getting statements in | Import the file you download from your bank | Copy and paste | Often a live bank feed | You hand over the PDFs |
| Receipts kept with transactions | Attached by you, gaps listed | By hand | Often, depending on the product | Done for you, at their rate |
| HST tracked | Line by line, with a summary per period | With your own formulas | Usually | Worked out for you |
| A year-end package for your CPA | One export of plain files | You put it together | Varies: accountant access or report exports | Your accountant builds it |
| Several people editing at once | Not in version 1 | Awkward | Usually yes | Not applicable |
| Who does the work | You, with the importing and adding up done for you | You | You, with some automation | Someone you pay |

Compared with your own spreadsheet
Langbyrde began as a replacement for one. A spreadsheet is flexible, free and yours, and it stays that way until month-end takes an evening.
It is the better choice when
- You have a handful of transactions a month.
- You enjoy building and maintaining your own formulas.
- You need a layout no app would give you.
Langbyrde is the better choice when
- You import several statements a month, in more than one currency.
- You want receipts filed with their expenses and gaps flagged instead of found in April.
- You want HST, payroll remittances and the shareholder loan in one place, not five tabs.
- You want a package your CPA can use without a call to explain it.
Compared with an online bookkeeping subscription
Online services are mature, and many connect straight to your bank. The difference is where your books live and how you pay for them.
It is the better choice when
- You want an automatic bank feed rather than downloading statements.
- You and a bookkeeper need to edit the same books at the same time.
- You want payroll run and filed for you as a service.
- You want to work from a phone or any browser.
- Your company is based outside Ontario today, or holds inventory.
Langbyrde is the better choice when
- You want to pay once instead of every month.
- You want the books in a file on your computer, readable offline, with a licence that does not expire.
- You don’t want to share your banking login with a third party.
- You want AI that is optional, uses your own key, and lists every call it made.
Compared with handing it all to a bookkeeper
Paying someone to do the books is a fine decision. Langbyrde is for the people who would rather do them, if it didn’t take so long.
It is the better choice when
- You would rather pay than spend any time on the books at all.
- Your situation needs judgement every month, not just at year end.
Langbyrde is the better choice when
- You already do your own books and want them faster and cleaner.
- You want to know where the corporation stands during the year, not only after year end.
- You want your CPA’s hours spent on advice, not on sorting receipts.
